Saving time with Loom: asynchronous video for a more intentional workday
Introduction
Let’s be honest… video meetings aren’t always the most efficient use of time. Between scheduling conflicts, context-switching and meeting fatigue, many small business owners spend more time talking about the work than actually doing it.
That’s exactly why I started using Loom - the asynchronous video tool that’s now a staple in my workflow.
In this post, I’m sharing how Loom has helped me cut down on back-and-forth, improve communication with my team and clients and reclaim time and energy for the deep work that really moves the needle. If you're craving fewer meetings and more flow, Loom might just be the tool you didn’t know you needed.
What is Loom?
Loom is a video messaging platform that allows you to record and share quick videos - your screen, your face or both - without scheduling a meeting.
Instead of hopping on a Zoom call or typing a long email, you can record a 2-minute explainer and send it off. Your recipient can watch it in their own time, and you both skip the calendar juggling.
It’s like sending a voice note - but with visuals.
Why I Started Using Loom
As a business owner, I was constantly repeating myself.
“Where’s the link for that?”
“Can you show me how you did that again?”
“What do you mean by that comment?”
I found myself explaining the same processes, recording walk-throughs for clients and typing out long responses that still left room for confusion. I also didn’t love meetings that could easily have been emails (or Looms).
At the same time, I was craving more intentional time use. Less context-switching. Fewer meetings. More space to think, plan and deliver my best work.
But it didn’t stop there. I also started using Loom to host my self-paced courses - allowing customers to learn in their own time, without the pressure of showing up live. Every video lesson lives in Loom, which means I can deliver value, scale my offers and support learners - without duplicating effort or managing yet another tech platform.
It’s easy for clients to access and revisit trainings when they need to, and I can focus on improving the content, rather than troubleshooting tech.
How I Use Loom in My Business
I use Loom primarily for asynchronous communication - and it’s been really impactful. It allows me to communicate clearly, save time and offer a more human touch when needed.
I remember sending a link to one of my videos to someone who was new to asynchronous communication and their comment back was “it was like having a meeting with you, but without having the meeting!”.
And Loom also plays a big role in how I deliver my services.
Here’s how I use it regularly:
📚 Team Processes + SOPs
I record screen walkthroughs of systems, tools and processes (e.g. how to use our project board in Asana) and save them in our shared knowledge base.
📬 Client Feedback
Instead of a lengthy email, I send a Loom video walking through a client’s deliverable with visual annotations and verbal explanations.
🎯 Project Updates
No need for a meeting - a quick Loom update keeps collaborators in the loop and cuts down meeting time.
📌 Weekly Reviews + Check-ins
Sometimes I’ll reflect on progress or share thoughts via Loom - especially helpful when working across time zones or asynchronously.
🎓 Course Delivery
All my self-paced training courses are hosted on Loom. Customers can watch the videos in their own time, revisit modules as needed and learn at a pace that works for them. It’s simple and easy to use - for me and them.

Camera + Screen Recording
Loom allows you to record just your screen, just your face or both at once. Perfect for tutorials, feedback and walkthroughs.
Time-Saving Viewer Insights
You can see when someone has watched your video (and how much), which is helpful for tracking engagement without chasing people.
AI-Powered Transcripts
Loom automatically generates captions - making it accessible, skimmable and searchable. You can upload videos into Loom, as well as record in the platform itself. I will often upload my Zoom recording of the podcast to get a transcript.
Easy Sharing
Each video has its own link. You can embed it into an email, Teams message or Asana task in seconds.
Loom AI
There is a new AI feature, which can generate meeting recaps - I don’t have this though, so can’t comment on if it’s any good. It looks like you can connect it to a calendar, and allow it to record meetings - it's compatible with Teams, Zoom and Google Meet.
One Limitation
Occasionally, I still need to remind people to check Looms - not everyone is used to async workflows and habits take time to shift.
And if you're someone who prefers to read rather than watch, it may not replace emails entirely although transcripts do help with this.
There are also options to edit and trim videos within Loom, but I don’t love the user interface for this and it can be tricky if you want to cut out a really small section of the video. I think the new AI feature allows you to cut out pauses etc more easily, but as I said earlier - I don’t have access to this feature.
The Real Win? Communication without the calendar clutter
Loom has allowed me to show up in a way that’s helpful without being constantly available.
It cuts down unnecessary meetings and allows me to communicate clearly and thoughtfully, on my own schedule.
I can give feedback, explain something once and move on - without repeating myself three times in a week.
More clarity. More connection. Less time in meetings.
