Venturenomix Case Study
Over the summer, I had the pleasure of working with the brilliant team at Venturenomix. Their work is fast-paced, collaborative and deadline-driven, with multiple stakeholders and moving parts.
As the company grew and transitioned from one-off projects to longer-term client partnerships, the founders recognised it was the right moment to pause and strengthen their internal approach to time and project management.
This case study shares the work we did together, from early discovery conversations to tailored training sessions, and some of the early signs of impact the team is already seeing. It’s a great example of how small, intentional changes to ways of working can create powerful ripple effects across a business.
Venturenomix is a specialist consultancy that supports clients through complex grant application processes, primarily R&D funding awarded by government bodies and charitable organisations. Their core service is R&D grant funding management - acting as an outsourced expert grant writing team. With work that is highly collaborative, deadline-driven and detail-heavy, strong time and project management is critical to their success.
As their team grew and transitioned from one-off projects to longer-term retained work, the founders recognised the need for greater consistency in how time and project management were approached across the organisation.
The Challenge
“Our team had grown quite suddenly” explains the founder, “and we were not all aligned on time keeping and efficiency. I didn't want this to be a top down ‘this is how we work’ approach - rather, external facilitated training.”
Venturenomix had already introduced Asana as their project management platform, but adoption varied across the team. With the shift to retained client partnerships, visibility, planning and communication were becoming increasingly critical.
They knew they didn’t just need tools or templates. They needed a fresh perspective, and a way to bring their talented team on the journey.
Discovery Sessions
Co-founder Alex Chalkley and I met in a 30 minute Discovery Call to explore some of the challenges Venturenomix were facing and to determine whether I was the right fit to help support them. My focus in these calls is always to add value, not pressure.
During the call I listened closely to how the team worked, where the sticking points were, and I shared some initial ideas for changes that I felt could deliver a great impact. One insight stood out clearly:
“After our initial call, I was really impressed with your identification of client onboarding as a way to be more time efficient,” Alex said.
By improving the way new clients were onboarded, particularly across their long-term grant application projects, Venturenomix could align expectations earlier, reduce friction and improve project outcomes.
From there, we arranged a team discovery session, bringing everyone together to explore their current ways of working - what was working well, what wasn’t, where the pain points lay and where time was being lost. It was clear the team was highly capable and collaborative, but juggling a growing workload with competing demands.
I also had a one-on-one session with Alex to walk through how the team was currently using Asana. This gave me valuable insight into their systems and structure, and helped shape a bespoke training experience tailored to their real-world needs.
Training and Delivery
I designed a bespoke training series focused on three pillars: time management, project management (with Asana at the core) and continuous improvement. Each session blended mindset, strategy and practical tools to meet the team where they were, and move them forward.
“[The training was] tailored, well presented, patient, engaging and a great level of high quality content” Alex shared. “This training was more holistic than I expected, which was a very welcome surprise!”
The Early Impact
Just weeks after the sessions wrapped up, there are signs of meaningful shifts:
The team is revisiting and applying time management techniques day-to-day
Their Asana workspace is more organised and consistently updated
But the impact isn’t just operational. “We are looking to switch to a 4-day working week,” the founder shared. “The efficiency gains we’re already seeing will help make that a reality.”
What’s Next
For Venturenomix, this wasn’t a ‘one and done’ training. It was a catalyst for creating a stronger internal culture around clarity, focus and continuous improvement. As they support clients through high-stakes, deadline-driven grant applications, these internal systems will support them in delivering consistently excellent work, without sacrificing wellbeing.
